Creating Tasks and Followups

Introduction

Tasks combine 2 types of tasks: To-Dos, which are things you need to get done, and Followups, which are contacts you need to followup with. They are all created in the same place, and can be managed in the same place, however Followups also have a special Followup contact queue found in the Followup icon of the navigation bar. This provides a powerful tool for completing your followups quickly. See the Followup Tutorials to learn more about this feature.

Adding Tasks

Tasks are created within the Tasks icon of the navigation bar. Different options you may choose from when creating a task will determine how you can better manage your tasks.

To create a task:

  1. Click the Tasks icon in the navigation bar.
  2. Click the plus icon in the upper right corner of the screen.
  3. In the Task Details section, give your task a subject name.
  4. If the task pertains to a contact, you may select the contact from the list. This is an optional field.
  5. By default, the task will be assigned to you. If you wish to assign it to another Gro CRM user, select their name from the list.
  6. Select the task's due date.
  7. Assign a priority to the task.
  8. In the Followup section of the task creation screen, turn the Add to Queue switch on if the task involves following up with a contact.
  9. In the Events section, turn the Add to Events switch on if you'd like your task to not only appear in your task list, but to be displayed on your Events calendar as well.
  10. Type in any import notes regarding the tasks to be completed in the Notes section.
  11. Click the Save button in the upper right corner of the screen.


Tasks can also be created from the Followups icon in the navigation bar. Click the plus icon in the upper right corner of the screen and follow the same process described above.
Editing a Task

To edit a task:

  1. Click the Tasks icon in the navigation bar.
  2. Next, click on the task folder that contains the task you wish to edit and select the task.
  3. If you wish to mark the task as a Favorite, click on the gray heart icon to the right of the task name. Once the task is marked as a favorite, it will turn red. Click it again to un-mark as a favorite.
  4. Make any additional changes by simply clicking the field you wish to edit.
  5. Click the Save button in the upper right corner of the screen.
